At Divica, we take your privacy and the confidentiality of your clients’ data incredibly seriously. This Privacy Policy outlines how we collect, use, and protect information when you use the Divica Pro platform (“the Service”).

1. Information We Collect

We collect information to provide, maintain, and securely manage your access to our B2B workflow engine. This falls into two categories:

  • Account Information: When you subscribe to Divica Pro, we collect your name, professional email address, practice name, and payment billing details. (Note: Payment processing is handled securely by our third-party gateway; we do not store full credit card numbers on our servers).
  • Case & Estate Data: To utilize the Service, you will input data related to probate cases. This includes the names, addresses, dates of birth, dates of death, and financial asset details of the deceased, as well as executor contact details.
Note on Deceased Individuals: Under UK GDPR, personal data regulations apply only to living individuals. However, we treat all estate and probate data uploaded to our platform with the highest level of strict commercial confidentiality and security.

2. How We Use Your Information

We use the data we collect exclusively to operate and provide the Divica Pro Service to you. Specifically, we use it to:

  • Authenticate your secure login and maintain your individual professional account.
  • Process your monthly subscription billing.
  • Generate the customized PDF forms, valuation tables, and correspondence letters that you request within the platform.
  • Provide technical support and respond to your enquiries.

3. Data Security and Storage

The security of your data is paramount. Divica Pro utilizes industry-standard security measures, including SSL encryption for data in transit and secure, encrypted database architecture for data at rest. Access to case data is strictly compartmentalized to your specific account credentials.

4. Data Sharing and Third Parties

We do not sell, rent, or trade your data. We only share information with trusted third-party service providers (sub-processors) when absolutely necessary to operate the platform, such as:

  • Secure payment gateways (e.g., Stripe) to process your subscription.
  • Cloud hosting providers that maintain our secure servers.
  • Financial data APIs to retrieve historical asset pricing (only company tickers and dates are transmitted; no personal client data is ever shared).

Divica Pro does not automatically contact financial registrars (e.g., Equiniti, Computershare) on your behalf. The software generates the documents for you; it is your responsibility to send them to the registrars.

5. Use of Cookies

The Divica platform uses strictly necessary cookies to maintain your active login session and ensure the security of the application. Without these cookies, the membership authentication system cannot function. We do not use intrusive tracking or third-party advertising cookies.

6. Your Data Rights

Under the UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Request corrections to any inaccurate information.
  • Request the deletion of your account and associated data (the “Right to be Forgotten”).
  • Withdraw your consent for marketing communications.

7. Data Retention

We retain your account information and case data for as long as your Divica Pro subscription is active. If you choose to cancel your subscription, you may request that your workspace and all associated case data be permanently deleted from our servers.
